Cookie Policy

Effective date: [Effective date to be set] · Last updated: September 2, 2026

The cookies and similar browser technologies WebinarGrid uses, what each one is for, and how you can control them.

1. Scope

This Cookie Policy explains the cookies and similar technologies used on the WebinarGrid marketing website and in the WebinarGrid application. It supplements our Privacy Policy, which explains more broadly how we handle personal information.

Cookies are small text files stored in your browser. We also use browser local storage and session storage, which work similarly but are not sent to our servers automatically. This policy covers all of these.

2. Summary

The WebinarGrid application uses strictly necessary cookies only — the cookies that keep you signed in and identify you within a webinar. It sets no advertising or tracking cookies. Our marketing website uses Google Analytics, which is an analytics technology and is not strictly necessary. We do not use advertising cookies, cross-site tracking, or email tracking pixels anywhere.

3. Cookies used in the WebinarGrid application

All of these are strictly necessary: the application cannot provide the features you have asked for without them. They are first-party cookies set only on our own domain, and all are HTTP-only, meaning they cannot be read by scripts running in your browser.

CookiePurposeDuration
wg_tokenKeeps you signed in to your WebinarGrid accountUp to 7 days
wg_panelist_tokenAuthenticates a panelist joining a live session from an invitation link24 hours
wg_panelist_session_idIdentifies a panelist's session during a live webinar24 hours
wg_attendee_idIdentifies your webinar registration to our servers, so that chat, polls and reactions are attributed correctly and cannot be tampered with from the browser30 days

4. Browser storage used in the application

The application also stores information directly in your browser using local storage and session storage. This information stays in your browser and is used to keep the interface working correctly.

ItemPurposeStorage
userYour basic profile — name, email address and role — so the interface can display your account without refetching itLocal / session storage
wg_tokenA copy of your session token, used when your browser does not send the cookieLocal storage

wg_visitor_idA randomly generated identifier used to count unique visitors to webinar registration pages. It is not linked to your name or email address.Local storage

Draft, dismissal and preference keysSaves in-progress work such as webinar timeline drafts, and remembers which notices, banners and calls-to-action you have dismissedLocal / session storage

5. Cookies on our marketing website

Our marketing website does not set any cookies of its own. It does use Google Analytics to understand how visitors find and use the site — for example which pages are read and how many people visit. This is an analytics technology and is not strictly necessary for the website to work.

CookieSet byPurposeDuration
_gaGoogle AnalyticsDistinguishes one visitor from another so that visits can be counted2 years
_ga_<container id>Google AnalyticsMaintains analytics session state2 years

Google Analytics is provided by Google. Information collected through it is processed by Google in accordance with its own privacy terms. We use it in aggregate — to understand traffic and page performance — not to identify individual visitors.

We do not currently present a cookie consent banner. If you are in a region where consent is required for analytics cookies, you can prevent them using the browser controls described in section 7, or by installing Google's opt-out browser add-on. We are reviewing this and expect to introduce a consent mechanism.

6. What we do not use

To be clear about the technologies we have chosen not to use:

  • No advertising or retargeting cookies, and no advertising pixels of any kind
  • No cross-site tracking, and no sharing of identifiers with advertising networks or data brokers
  • No tag manager, session-replay or heatmap tools
  • No tracking pixels in our emails — we do not record whether you opened an email
  • No third-party analytics inside the WebinarGrid application itself
  • No social media tracking widgets or third-party embeds on our marketing website

Where a webinar host shares a link in chat, clicking it may pass through a WebinarGrid redirect so the host can see how many attendees clicked. This records the click against the webinar; it does not set any identifier on the destination website and does not follow you around the internet.

7. How to control cookies

Most browsers let you view, block and delete cookies through their settings, and to clear local and session storage along with other site data. You can usually find these under Privacy, Security, or Site Settings.

Blocking the strictly necessary cookies listed in section 3 will prevent the WebinarGrid application from working — you will not be able to stay signed in, and you may not be able to join a webinar. Blocking analytics cookies on our marketing website has no effect on your ability to use it.

Browsers also offer a Do Not Track setting. There is no consistent industry standard for how sites should respond to it, and we do not currently respond to it.

8. Changes to this policy

We will update this policy when the technologies we use change. When we do, we will revise the "Last updated" date above. If we introduce a technology that requires your consent, we will ask for it at that time.
