Billing, Cancellation and Refund Policy

Effective date: [Effective date to be set] · Last updated: September 2, 2026

How WebinarGrid subscriptions are billed, how to change or cancel a plan, and how we handle refunds.

1. Scope

This policy explains how billing works for WebinarGrid subscriptions. It forms part of our Terms of Service. Where this policy and the Terms of Service differ on a billing matter, this policy applies.

WebinarGrid is the trade name and brand under which the WebinarGrid service is offered and operated by [LEGAL OPERATOR NAME], [REGISTERED BUSINESS ADDRESS]. References to “WebinarGrid,” “we,” “us” and “our” in this document mean that operator.

2. Plans and pricing

WebinarGrid is offered on three subscription plans — Starter, Pro and Scale — each with its own feature set and usage limits, including storage, attendee capacity, monthly email volume and access to live webinars. Current features, limits and prices are shown on our pricing page and within the application at the time you subscribe.

Each plan can be billed monthly or annually. Annual billing is charged as a single payment covering twelve months, at a discount to twelve months of monthly billing.

Billing currency

Your billing currency is determined by the account country you provide when you register. Accounts registered in India are billed in Indian Rupees; all other accounts are billed in US Dollars. These are two separate price lists — we do not convert between them at a live exchange rate.

Your billing currency cannot be changed on an existing subscription. If you need to bill in a different currency, you will need to cancel your subscription and subscribe again.

3. Free trial

New accounts may be offered a free trial of 14 days. A trial gives you access at the Starter plan's feature set and limits. Trials are limited to one per account.

Your trial will not automatically convert into a paid subscription, and no payment is taken when a trial ends. If you do not choose a paid plan, your trial simply expires and your access to paid features ends.

We may require a payment method to be verified before a trial begins. Where we do, a small verification charge may be authorized against your card and is refunded automatically — it is part of verifying the card, not a payment for the service.

If you subscribe to a paid plan before your trial ends, we apply the value of your remaining trial days. Where you subscribe to the same plan tier, your remaining trial days are added to your first paid billing period. Where you subscribe to a higher tier, the value of your remaining trial days is applied as a credit against your first payment.

When a trial expires without a paid subscription, uploaded video files become subject to the retention period in section 12.

4. Payment processing

Payments are processed by Razorpay, our payment processor. When you subscribe, you complete a payment through Razorpay and authorize a recurring payment mandate that allows us to charge your selected payment method for subsequent renewals.

WebinarGrid does not receive or store your full card number, security code or card expiry date. We retain only the card network, issuing bank and the last four digits, so that you can identify the card in your account.

To complete a purchase you will be asked for billing information, including your billing name, billing type, address and country, and a phone number. This information is used to process your payment, determine applicable taxes, generate invoices, and comply with accounting and legal obligations. You must keep it accurate.

5. Automatic renewal

Paid subscriptions renew automatically at the end of each billing period, using the payment mandate you authorized, until you cancel. Renewal is charged on your renewal date at the then-current price for your plan and billing interval.

Renewal is charged at the full list price for your plan. Any promotional discount you used when you first subscribed applies to that initial charge only and does not carry over to renewals.

You can see your renewal date and manage your subscription at any time in your account. We recommend checking it there rather than relying on a reminder — we do not currently guarantee an advance renewal notice.

6. Taxes

Prices shown may be exclusive of taxes. Where applicable law requires it, tax may be added to your subscription charges. Whether tax applies, and at what rate, is determined by the billing country and billing details you provide.

Where tax is charged, it is calculated on the final chargeable amount after any proration, credit or discount has been applied, and it is shown as a separate line at checkout and on your invoice. The tax rate applied to a payment is fixed at the time of that payment and is not recalculated afterwards.

You are responsible for providing accurate billing and tax information, and for any taxes that apply to you and are not collected by us.

7. Invoices

An invoice is generated for every successful payment and is available to download as a PDF from the billing section of your account. Invoices are numbered sequentially and record the plan, billing interval, billing period, amount breakdown, payment reference and payment date.

The billing details shown on an invoice are captured at the time of payment and are not changed retrospectively. If you update your billing details, the change applies to future invoices. Please make sure your billing details are correct before you pay.

8. Upgrades

You can upgrade to a higher plan at any time. Upgrades take effect immediately.

You pay only the difference between your current plan and the new plan for the remaining whole days in your current billing period. The unused value of your current plan is applied as a credit against the upgrade charge, and both amounts are shown before you confirm. Where the calculated difference is negligible, we may waive the charge entirely and apply the upgrade anyway.

Your billing date does not change when you upgrade — your renewal anniversary is preserved, and your next renewal will be charged at the new plan's full price.

If you have a scheduled downgrade or a scheduled cancellation and then upgrade, the upgrade supersedes it and your subscription continues.

9. Downgrades

You can schedule a downgrade to a lower plan at any time. Downgrades take effect at the end of your current billing period — never immediately.

You keep your current plan's features and limits until the end of the period you have already paid for. No refund or credit is issued for the remainder of that period.

You can cancel a scheduled downgrade at any time before it takes effect.

Before your downgrade takes effect, you should bring your usage within the lower plan's limits — for example, storage used, saved templates, or page designs. Please review your usage against the target plan's limits before the change date.

10. Changing between monthly and annual billing

Switching between monthly and annual billing on an existing subscription is not currently available as a self-service option. If you would like to change your billing interval, please contact us at support@webinargrid.com and we will tell you what is possible for your account. In some cases the only route available is to cancel your current subscription and subscribe again on the interval you want.

11. Failed payments

If a renewal payment fails, we will retry it up to three further times over approximately the following three days. We will email you when a payment fails so that you can update your payment method.

Your subscription enters a grace period of 7 days from the failed payment. During the grace period you keep full access to your plan while we attempt to collect payment. You can resolve the situation at any point by updating your payment method or retrying the payment from your account.

If payment is still not collected by the end of the grace period, we may end your subscription. When a subscription ends, your paid features become unavailable, your webinars stop being served to attendees, and your uploaded video files become subject to the retention period in section 12. Your webinars, templates, page designs, registrant records and analytics are retained.

You can restart a subscription at any time after it has ended.

12. Cancellation

You can cancel your subscription at any time from your account. Cancellation is not immediate: it takes effect at the end of your current billing period.

Until then you keep full access to your plan, and no further payment is taken. You will not be charged again once a cancellation is scheduled.

You can reverse a scheduled cancellation at any time before it takes effect, from your account. If you do, your subscription simply continues and renews as normal.

What happens after cancellation

When the period ends, your subscription ends and paid features become unavailable. Your webinars stop being served to attendees — registration pages and join links for your webinars will no longer work.

Your uploaded video files and recordings are retained for 60 days after a paid subscription ends, and for 7 days after a trial ends, and are then permanently deleted from our storage. We email you in advance of that deletion. Your webinars, templates, page designs, registrant records and analytics are kept — it is the underlying media files that are removed.

If you subscribe again before the retention period ends, the scheduled deletion is cancelled automatically and your media is preserved.

Cancelling a subscription is not the same as deleting your account. Account deletion is a separate action available in your account settings and is described in our Privacy Policy.

13. Refunds

Fees paid to WebinarGrid are non-refundable, except where a refund is required by applicable law or is granted at WebinarGrid's sole discretion. We do not offer a general money-back guarantee or a fixed refund window.

In particular, we do not provide refunds or credits for:

  • Partial billing periods after a cancellation or downgrade
  • Periods during which you did not use the Services
  • Unused storage, attendee capacity, email allowance or other plan limits
  • Accounts suspended or terminated for a breach of our Terms of Service or Acceptable Use Policy

If you believe your circumstances warrant a refund — for example a billing error, a duplicate charge, or a technical problem that prevented you from using the Services — contact us at support@webinargrid.com with your account email and the invoice or payment reference. We review every request individually. Refunds are processed manually by our team, and we may issue a full or partial refund at our discretion.

Where a refund is issued, it is returned to the original payment method. Refunds appear as pending until your bank or card issuer confirms them, which can take several business days and is outside our control.

Nothing in this section limits any statutory refund or cancellation right you may have under the consumer law of your country, which applies regardless of this policy.

14. Payment disputes and chargebacks

If you do not recognise a charge or believe it is incorrect, please contact us at support@webinargrid.com first. We can usually resolve billing questions faster and more completely than a dispute raised through your bank.

If a chargeback or payment dispute is raised against a payment, we may suspend the account concerned while the dispute is investigated, and we may provide our payment processor with the account, transaction and usage records relevant to it.

15. Changes to pricing and plans

We may change our prices, plan features and plan limits. Changes to the price of an existing subscription take effect from your next renewal, not mid-period.

Where we increase the price of a plan you are subscribed to, we will make reasonable efforts to notify you in advance by email. Your renewal date is shown in your account, and if you do not wish to continue at a new price you can cancel before your next renewal, in which case you keep access until the end of the period you have already paid for.

We may also change the features or limits included in a plan. Where such a change is materially adverse to you, we will make reasonable efforts to notify you in advance.

16. Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date above and, where the changes are material, provide additional notice.
